Agenda

  1. Changes to the agenda

  2. Connect 2023 budget - costs, sponsorships, scholarships

    1. A/V costs are particularly high, really bringing up our costs. Talked in the committee about pre-conference workshop charges, bringing registration up to $500

      1. Action: get an A/V breakdown, to potentially streamline number of rooms/tracks

      2. Action: Polling the community about attendance, to make sure we’re sizing correctly

    2. Are there any sources of sponsorships to bring down costs?

      1. Heather will reach out to potential sponsors

    3. How can we offer scholarships?

      1. Will ask for sponsors

    4. Keynote speaker ideas

      1. Princeton author, and Esme will ask colleagues

      2. Heather will ask Jill from PALCI

    5. Encouraging CFP responses

  3. COAR meeting debrief
    https://www.coar-repositories.org/coar-annual-meeting-2023/

    1. Heather’s presentation received; COAR would like to do webinars about the need for open science orgs to better support open repository software communities

    2. Call for proposals: Open Infrastructure Fund - Board will consider options for proposal

  1. Hyrax accessibility (from Spring Partner meeting)

    1. “Action: Share evaluations with Samvera community and document the process taken to evaluate the tool. We could evaluate demo application as a baseline.”

    2. At Partner call: anyone have compliance-level issue? Good to know what particular issues are coming up for people

    3. A loose thread; accessibility are largely about how you implement a front end. Hyku is a different situation. Could more thoroughly test? Rob may have more information. There is an accessibility audit from 2022.

    4. Avalon is a good model for this, and had assessments done at IU.

    5. What would be next steps? Bring this up at Partners. Find out who has this problem. Publicize the Hyku accessibility audit done by TN Knoxville; ask them what this cost to do, and think about how frequently it should be done.

  2. Other Updates

    1. Valkyrization and Hyrax 4 - SoftServ started work this week; Hyrax 4 nearly complete after Dev congress

    2. Invoicing 2023 moving along well

    3. nurax transition

      1. Costs so far are higher; savings plan/prepayment options will bring this down, and Heather will bring options to finance subcommittee for approval

      2. Cost being made up in reduced need for CircleCI credits

    4. Incident response team and helpers met, made updates to the response manual

    5. Code of Conduct reporting email is incident-responders@samvera.org

    6. Maintenance pledges are flat

    7. Heather out of the office June 2nd (budget meeting); leaving for OR2023 on June 9 and back on the 17th (back in the office on the 20th)

Date of next Board meeting: June 23rd
