    3. Total room hire costs
      Still waiting for a final figure so we can ensure these are within CWRU's budget. Expected within a couple of weeks.

  5. Conference fee
    1. What do we need to charge for?
      1. T-shirt
        Last year these were $13.25 - Stanford will let us know as soon as they have a 2014 price. 
      2. Refreshments (what/when?)
        tbd still - we have prices; breakfast will be left to delegates (hotels, Starbucks, Thwing - lots of options)
      3. Conference meal (what/when/where?)
        Post call info: Best option seems to be "The Jolly Scholar" in Thwing which holds c170.  They will do food to a fixed price. They won't "close" for us so Patrick to investigate just how busy they are between 6-7pm.  Could use the Library with Jolly Scholar as caterers but need to investigate how we could provide a bar (also from Jolly Scholar?) Patrick to get some idea of what you get for what fixed price.
      4. Eventbrite admin fee
        Amounts to about 3.5%  Mark to check. 
      5. Administrative items (stationery, printing, badges, etc) unless CWRU can absorb these within their budget
        Library can do a banner "Welcome to Hydra Connect" or similar and navigation signs within their budget; will also do and absorb general printing for name badges, programs etc.
        Post call info:  will also print any posters on foam core for free providing they have them two weeks in advance.  Up to 40" x 60". Need to fix on a standard size compatible with available easels.

    Patrick will see if there is a pre-existing web page of things to see and do around CWRU - if not will create one.
