Agenda Items

  1. Welcome

  2. Additions/changes to agenda

  3. Scheduling Discussion (North America/EU holiday calendar)
    1. Final decision by end of June
Needed more urgently in order to make sure of webinar reservations.
DLF Forum now online 8-12 November

After lengthy discussions, it was decided that dates should be as follows:
      1. Proposed date for Partner meeting - Wednesday October 14th
      2. Workshops - Thursday October 22nd (Zoom meetings)
      3. Plenary - Friday October 23rd  (3 hours Zoom webinar)
      4. Presentations - Monday 26th - Wednesday 29th October (3 x 3 hours Zoom webinars)
      5. Poster session - on-line during 22nd - 29th October - exact details tbd
      6. Dev congress proposed during Monday 16th - Wednesday 18th November (not necessarily on all three days, maybe 2 x 3 hours?)

    2. IU, Princeton, Northwestern have Zoom Webinar, Notre Dame has the ability to buy a Zoom Webinar license at $150 for 500 people.

  4. Any new ideas based on IIIF week? Other conferences?
DF participated in some of the IIIF event.  Samvera Virtual Connect (SVC) was better organized but this perhaps reflects the fact that we have more experience with such things.  Attempted panel discussions did not work well. Poster session was "just slides".   EJ says Zoom webinar worked well.
AB: LPF breakouts were done well (though see caveat in her notes).  Such short sessions need a moderator to make the best of the available time.  The 'conference was 5x5 hours but people were picking and choosing what fitted their personal interests and schedules.  The attempted before/after social sessions were not well attended, but the one she attended was good. (JF: We should try to do something by hosting open sessions/happy hours.)  Poster session was a succession of pre-recorded 5-minute presentations - rather like a lightning round.  AB will check with others to see how they felt other social sessions went.  We should perhaps reach out to people who have organized past Connect social sessions to see if they will help with ours.

  5. Conference Program format discussion
    1. Workshops (if possible, before/after plenary)
Should be at the beginning of the conference to help people orient with the Community and its technology.  This can help people be more participatory in what follows.
    2. Plenary
      1. Guest Speaker
ALL - add ideas for guest speakers to the planning document here
      2. CoC
There may be an updated Code of Conduct to talk about - work is going on at the moment
      3. Steering Updates
We expect a 'State of Samvera' address from Steering
      4. Other...
May be updates from IG/WGs (SVC did these in about an hour?), Avalon, Hyku, Hyrax if not dealt with elsewhere in the event
    3. Poster Session discussion https://docs.google.com/document/d/1JHXb92feYHfSSJ39lkPjN-iYG7RVLWPcGSBWtoveCpM/edit?usp=sharing
Important to facilitate conversations.  Maybe people could submit a lightning talk to introduce their poster - see also JF's proposal linked just above
    4. Presentations
      1. .
    5. Lightning Talks
      1. .
    6. Unconference
      1. .
    7. Social Events
      1. .
    8. WG/IG updates
      1. The conjecture is this could be done in an hour.  SVC had a running slide deck with a title for each 5-minute slot, speakers had the option of adding bullets to the title slide.  Some groups did not take part, but gave a longer presentation elsewhere.

  6. Qualtrics survey data-
    Coming soon

  7. Update Connect 2020 pages
Web page front end at connect2020.samvera.org linking to holding pages on the wiki.

  8. Open discussion

Next meeting:

Notes from previous meeting:

  1. Virtual Connect Survey Review
    1. Zoom Survey Data here
      1. IIIF is working on a workshop week (June 1st through June 13th)
      2. DEC is working on online workshops
      3. Notch8 is exploring what they are doing with their August workshop (which was scheduled to be face to face)
      4. Suggestion that we might seek a keynote speaker from an institution that would probably never be able to host a conference - Princeton?  Hull?
Posters:  JF will flesh out some ideas for a (partially?) asynchronous approach involving Google docs
Lightning talks are likely to be even higher value in the virtual environment.  Need discussion breaks for people to be able to build on the ideas poresented.  Maybe need a group of volunteers ("connectors") to encourage lightning talk proposals.  NJ will put together a proposal.
Unconference sessions offer the physical conference a wrap-up which facilitates the move to further, asynchronous work.  Need to find a way for people easily to have follow-up conversations.  Discuss this next call.
Need also to accommodate WG/IG discussions - perhaps Slack Channels offer a way to do these small group discussions.
    2. Plan on 4-6 x 3-hour days (a 15-18 hour time budget).  People can decide how much of this they will engage with if it is structured well.
