    1. First choice:  October 14-17 (Tuesday - Friday)
      Ginnie to reserve rooms for October 14-17 
    2. Second choice: September 29 - October 3 (Monday - Friday) (should this be Tuesday September 30 - October 3?)
  5. Rooming
    1. Ballroom
      Need ballroom for Friday in addition to Wednesday & Thursday
    2. Breakout rooms
      Would like the same breakout rooms reserved all four days - LL01, LL06, 1914 Lounge, Spartan, Meeting Room A - do not need Active Collaboration Room
    3. Cap at 150?
      Set initial registration cap at 150 - revisit if necessary as event approaches  
  6. Fixed costs - what will CWRU organisers need to pay for in-house
    CWRU can contribute $1,500-$2,000 toward the event - initial proposal is to have Case cover room booking and AV, potentially cover some refreshments.  
    Will set overall budget (need to include swag, catering, group dinner) and ticket prices prior to opening registration in June

      Also need to look into Easels/Flip-charts for breakouts and posters, monitors or portable projectors for poster sessions 
  7. Expanding the group?  Who/how?
    Proposal to keep the administrative & logistics team small (current group + Adam) and put out a call for program committee members to partner and tech lists
  8. Date and time of next call
    1. Should we set a regular time slot on the basis it is easy to cancel meetings already in the diary, less easy to find common gaps at short notice!
      Will call every other week starting next Thursday - 4pm GMT, with next week week being an exception at 5PM GMT
  9. Proposal to announce dates and location ASAP, formally open registration at or around the beginning of June (at OR2014?).  Will also put out a call for program committee members at that time.
