2025-11-25

Moderator(s): @Annamarie Klose

Notetaker: @Morgan McKeehan

Attendees:

  • @Annamarie Klose, Ohio State University Libraries

  • Steve McDonald, Tufts University

  • @Anna Goslen , UNC-Chapel Hill

  • @Morgan McKeehan (she/her/hers), Oregon State University Libraries & Press

  • @Rachel Jacobson(she/her/hers) Georgetown University

  • @Sarah Proctor

  • @Nick Steinwachs

  • @Nic Don Stanton-Roark

Agenda:

  • Samvera updates

    • Community Sprint, December 1-5

      • Potential for SMIG folks to contribute with documentation, etc.?

      • Getting started with Docker workshop with @Juliet Hardesty , starting directly after the kick-off meeting

    • Hyku 7 coming out soon

      • WVU sponsoring that work for its repository

      • Will include file-level metadata for accessiblity

  • Recap from Samvera Connect and DLF Forum

    • Presentations and slides: Slides and Videos for Samvera Connect 2025 Online Presentations

    • SMIG session: Emma and AK gathered metadata related-related feedback in live poll. topics included: Bulkrax, Problems with error messages, Flexible Metadata

    • Nic Don’s Flexible Metadata workshop:

      • Q: has there been workshop response/feedback about yaml vs UI configuration usability?

        • so far - NDSR is planning to provide template for “3 most common/most requested” changes + option to request to meet with NDSR for “complicated MD customizations not covered by 3 most common”

        • based on response/uptake for the “3 most common” - maybe there could be a UI developed to provide configuration for those.

        • Q: how long will FM config as a yaml - (that could potentially break other things) continue? Will we move to UI with constraints imposed, to avoid potential havoc?

    • Follow-up on Flexible Metadata - interest from SMIG in reviewing documentation. Currently there’s a steep learning curve for new users joining Samvera community.

      • OTOH - from Notch8, interest in UI design that aims to lessen need for/reliance on docs for all aspects/details of UI. Could tool tips, etc., help with greater user awareness about UI functionality?

      • also: RE: challenges with error messages, this points to the need for Validators for Bulkrax importers. Hoping that pre-ingest Validators could catch problems with importers before running them - potentially lessen the need for user-caused importer-related error messages?

      • DLF Forum

        • Notable session: Claude integration AI at Northwestern: Zenodo Slides. Northwestern has integrated AI into its repository search and is beta testing a tool with Claude that generates metadata and accessibility support, e.g. transcriptions, upon ingest. The presenters gave a live demo of the metadata creation tool. However, they have only been using it for two weeks. Results were impressive but human review and augmentation is still necessary.

        • Diversity Equity, and Inclusion (DEI)-related sessions - Emma’s session “Inclusive description? In this political climate?”, DLF Cultural Assessment Working Group session, Michigan IR session “Here There be Dragons: Seeking Reparative Metadata…”

      • Charleston conference

        • Pretty much wall to wall AI

      • DadoCM - presented at various conferences/events

        • DadoCM: For repositories with special collections and archival materials, related developments with Delivering Archives and Digital Objects: a Conceptual Model (DadoCM) (GitHub.io version and draft document) will be of interest. This work aims to connect finding aids and digital objects as they are traditionally siloed systems. The group involved with this draft standard is presenting at various communities, including IIIF and the DLF Forum. While the group seeks feedback on this draft standard, they are not looking for formal approval by SAA. Greg Weideman, University of Albany, SUNY, presented on this at the ALA Core Bibliographic Conceptual Models Interest Group on Monday. While the standard is system agnostic, University of Albany has a Hyrax repo and that was mentioned in Monday’s presentation. Weideman also shared an ArchivesSpace-ArcLigh-Workflow in GitHub that demonstrates its uses with Hyrax. Example of digital object in finding aid.

  • Accessibility - related thoughts

    • How are institutions approaching Title II mandate (April 2026)?

      • Some institutions have forms to request accessible versions of content in repository.

      • Other institutions are actively working on accessibility for their entire repositories.

    • Possible AI-related grants in Hyku for Consortia to support readiness for Accessibility mandate?

    • File-level metadata or Work-level metadata?

      • Steve and AK noted applying file-set metadata for accessibility. However, Tufts is on a older version of Hyrax, still XML. Ohio State University recently added File-Set metadata and support for it in Bulkrax.

  • Action items

    • Interest in SMIG discussion about metadata for Accessibility - possibly February. Anna will check with Emma Beck about. Morgan and AK have offered to present. Could use another presenter.

  • Open discussion

    • Some people will be out in January. That might be a smaller meeting.

    • AK and Emma open to hearing about other topics of interest for future SMIG meetings.

Next meeting: January 27, 2026
